Scott asked me to come in for a couple hours on this day in order to take me out to lunch with the staff. We talked a bit about the internship at lunch and what my plans are for the future.

Our day started by going to the senior meeting in the high school. They go through and introduce all the counselors to the students again to ensure they know who they are visiting. The briefly touched on a meeting that all students would attend that talked about applications for college and the process they will follow to ensure everything is completed properly. They then introduced all of the administration. Each of the administrators talked about something differed from dress code to code of conduct. The resource officer talked to the students about making good choices and the legal repercussions of not doing so. Then the AD talked about student athletes and what they must complete to be eligible. He talked about the student cheering section and rules for that as well. They talked about cheering on your team, but being respectful to the others as well. We then followed up with coaches to make sure all certifications were completed and turned in. We then went to the Houston Inn for a Kiwanis's lunch for football. They bring in the team captains and the head coach at the beginning of the season to kick off the season. They feed everyone and have the coach come up and talk about the players and the upcoming season. It is kind of like a small pep rally for the coach!

Today I worked on cross referencing the sports rosters with the students schedules. Mason works on a seven bell day. Students must pass five credit hours in order to be eligible. We were checking the schedules to make sure this would not be a scenario for any of the students.

My day started out on the computer again. The AD was away at a meeting in the morning, so he left work for me to complete. Today was the teachers first day back to work. They had mandatory training. Unfortunately, the girls golf teams also had a match. The AD and I went to the golf course to site supervise the golf team. We went around during the event and checked on the girls and made sure they had anything they needed.

Today I was kept pretty busy on the computer. We are getting towards the end of the first week of tryouts and practices for the high school teams. Therefore, we are getting rosters in from coaches. With the rosters, they must be added into schedule star and the students must be checked for eligibility with grades and transfer status. I worked on putting the rosters into schedule star. This was a very frustrating and time consuming process. The cross country rosters each have about 150 athletes. It took about a minute to load each student due to the slow system. I completed the boys and girls cross country rosters, boys soccer and girls volleyball. I then worked on imputing the JV and freshman schedules into MYOHSAA.com. After all of that was complete, I pulled up the ACT and SAT schedules to cross reference the game schedules to see if there were dates they would need to push games back.

Today I walked over to the athletic trainers office first to collect more physicals for the high school. When I got back to the athletic department, I sorted and filed all of the forms. I then sat in on a coaches meeting with students. When that was complete, I walked over to the Middle School to see if there was work that I could help with at the Middle School while I waited for the AD to return from a meeting. I sorted and filed more physicals at the Middle School then pumped up a lot of new volleyballs.

I started my day off with a lot of filing. The start date for high school and junior high athletics is August 1st. In order for students to be eligible to tryout and participate in practice, they had to have registered, turned in their emergency medical information on Final Forms and turned in a physical. This is the first season the fall sports have used final forms, so there have been a few hiccups, but mostly things are working well. All of the physicals come to the school in paper form and are turned into the trainers or the athletic department. Once they are turned in the athletic trainers review them and put them in the system with the expiration date. Final Forms alerts parents when the physical is close to expiration. Once they are entered in the computer they are put into a box. I worked on sorting the physicals and filing them in alphabetical order. After I completed the high school physicals, I went to the middle school and filed the physicals and paperwork that had been turned in there as well. I then worked on going through data and completing a form that is required after tournaments. This breaks down the teams that were participating and how many participants each team brought. I had to go through all the data from the district track meet for boys and girls to determine the schools that had participated and count the number of participants. Finally, I was there in the evening for an OHSAA meeting with the cross country team. I helped the boosters set up tables and get sign-up sheets and t-shirts set up for parents. I observed the athletic director talk about the new rule changes and about the athletic code in Mason. I then watched the coaches meeting when the athletic director concluded.

I worked on completing the scanning of coaches credentials today. For each coach this amounted to between 4-6 pieces of documentation. I then worked on creating files in the computer by level, sport and coach. I then uploaded all of the files from the email scanning in order to sort them into the coaches folders. After completing this, I went into final forms and updated the coaching information on certifications. I then uploaded all of the forms. Eventually this will make it easier for the AD to access the information while inputting it into the OSHAA website.

Today I worked on sorting through coaches credentials. I sorted them by coach and worked on scanning them into the computer. This was done for each of the sports for all head coaches and assistant coaches from high school through junior high. I am covering the front desk today. There was not a lot to be done today. I swiped out some hanging folders that were falling apart with new ones for the physicals and releases for athletes. Throughout the day, I collected physicals from athletes and answered phone calls.

Today was the coaches meetings at school. We set up the team room for the meeting and the lunch. We had to move the tables around so they were all facing the athletic director and away from the food (we don't want the coaches to be distracted of course). We set up the tables for where the food would be. Mason also has a contract with BSN and Nike, therefore they get a little money each year to split among the teams. One of the things they are able to do with this is get matching shirts for all of the athletic staff. They each got a dry fit polo which were sorted out by teams. We put those on tables in the team room as well as folders for the fall sports meeting that would follow and team picture forms. I set all this up to make it easy for coaches to come and get their materials without having to look for them. After setting up the team room, we went around to finish passing out the posters to the businesses in Mason for the Hall of Fame dinner. The meetings went well. There was talk about bullying and staying on top of kids and knowing what is going on, especially in the locker room. My day started on the computer. I did some more updating and saving in different places for the corporate sponsorship package. Following updating the sponsorship information, we took the team laptops to the technology department for updating and to get some things fixed. We then took a ride out to the baseball field to check on the progress. We had a lot of rain here over the week and weekend, so we wanted to check what was going on. Unfortunately the footers were filled with water which puts the work behind. Additionally, we found out the construction company ordered the wrong poles for the backstop. We went back to the office and I worked on updating the times and special events for the football game day itineraries. These are schedules the administration and coaches receive at the opposing schools. They give directions about drop off and the times for practice, coin toss, announcements etc. After completing that, I worked on adding in information the Hall of Fame inductees sent to the athletic department. We are still waiting for a couple athletes information. These biographies are what is said during the Hall of Fame dinner and what are published in the handouts. Finally, I finished my day up by going around to various business in the downtown area to ask them to hang up Hall of Fame dinner posters in the window. This gives individuals information on obtaining tickets for the event and the individuals that will be inducted.

The plan today was to take pictures of the facilities. This was so we can update the sponsorship package that is sent out to potential sponsors. The photos in the current edition were taken in 2007. We went around to each of the facilities and took pictures of the sponsorship opportunities. I took this time to snap a few pictures of the facilities as well. After taking the pictures, I uploaded them and worked on updating the pictures in the sponsorship letter.

Today I worked on sponsorship things. I began by going through the expired contracts and pulling out ones that were expired more than three years. We can then look at them and determine if they are worth while to pursue again. I then went through the binders of current contracts and moved old ones to the expired binder. After pulling all of the expired contracts, I made and excel database of the sponsors. I added phone numbers and addresses for each of the sponsors in addition to deleting sponsors that were no longer in business.

I started my day copying letters to send to former Hall of Fame recipients. This was to invite them to the upcoming Hall of Fame induction in September. After completing the copies, I stuffed the envelopes. A lot of cleaning and rearranging happened today as well. We started in the old athletic office. We went through everything in the office and tossed what was not needed. After that we moved to the storage area off of the field house. We went through all the equipment and put it away properly. We moved old broken equipment to another area for the junk truck to pick up the next day. Finally we went through old uniforms and folded them and put them in boxes for a flash sale that would take place in the fall.

I had to do some write ups for five of the computers that were pretty old (running windows XP) and ones that had an administrative block on them. I continued working at the front desk today. I worked on counting money and checks and preparing them for deposit at the bank for football boosters. Today was pretty uneventful. I worked on answering phone calls while at the desk. There were a few coaches that came in throughout the day with questions on coaching certification and the process they need to follow.

Today I was working at the front desk in the athletic office. The administrative assistant is out this week, so they have me filling in here. It was not a busy day, due to the summer hours. I had a phone call about Final Forms, which is a website utilized by the district to keep things paperless during the registration process for sports. A parent was looking to print off a physical from the previous year for their child to turn in with a work permit. This is an area I have not had much experience. The AD had to makes some calls to figure out the answer. Unfortunately, the district does not have the ability yet to upload all of the physicals into the computer. I had to find the paper physical and make a copy for the parent to pick up. I also worked on making some maps for a women's volleyball tournament that would be taking place at Mason. The maps gave directions on where spectators would park, where the buses should park and the path the buses should take to drop of participants. We had a little problem with saving to the Google drive between different computers, so I was glad I decided to save it on my thumb drive as well. I had several new coaches come in today as well looking for more information to complete the online courses and what paperwork to fill out. I was thankful it was not busy because I am still figuring some things out here!

Journal 7/3/2015 Reds Camp Day 5
Today was the final day of Reds camp. This was a special day for the kids, as they were taken to Great American Ball Park. They took a walk around the field and were split up into their teams to do drills on the warning track around the stadium. The kids were able to go in the dugout and Billy Hatcher was there to talk to the kids. They also got to experience going through the Club House which is a very rare opportunity. After lunch the kids met Brayan Pena. He talked about how he began playing the game and answered questions for the kids. All of the teams got to take pictures with him after his talk. Additionally, Procter & Gamble teamed up with the Reds to add a new video board in the outfield. The boys watched a video on it, which is the first time anyone has seen it up and running. It was debuted at the game that night! The teams then went back to Mason where they ended the day with awards. As I thought about it throughout the week, this was great marketing for the Reds. I talked to Tim Rappe about how they pick individuals to work at the camp. He talked about how important it was to have the right staff. There are very few organizations that will sponsor these camps because of the liability involved in it. With a bad experience, that can give the organization a bad name. However, when upbeat and great coaches are running the camps, this creates life-long fans. |

Today was the last day the Reds camp would be utilizing all of the facilities. There was some weather watching today and the boys did get rained on for a short bit. Today was pretty uneventful until lunch time in the arena. The older boys went inside to eat due to the muddy dug out on the baseball fields. One child had a bloody nose that was all over the bleachers. They called me to find a custodian and help clean it up. I got the blood cleaned up and helped make sure the boys equipment made it to the new fields. I also helped the staff load trailers again after leaving the baseball field. This camp does a great job of teaching the kids on their level and keeping it fun. I was thinking what great marketing this is for the Reds! Due to having great coaches that are upbeat and positive with the players they are creating life long fans.

Today was a beautiful day on the ball fields. The baseball field was still a bit we on the infield and therefore could not be used. The softball field was ready to go! The staff utilized the baseball outfield, two batting cages, bullpen, grass behind the ball fields, softball field, football turf and the multipurpose field. They were very spread out today, so I was glad to have the Gator to get around to the various facilities quickly. Also with the first full day outside, there were a few injuries with balls in addition to some headaches due to not drinking enough water. I helped the staff where I could with loading trailers. The day went very well!

Today was the second day of Red's camp. It was not without its complications due to weather. The day started off somewhat cloudy with a chance of some severe thunderstorms. We made it through most of the morning without any problems. It started thundering just before lunch and we had to move all of the players to the arena for safety. This also meant moving all of the equipment inside as well. This took a few trips with the Gator to ensure the staff had all the needed equipment. After lunch, the weather seemed to clear up a bit so the teams went back outside again. This was interrupted at about 1:45 by more thunder. Again, we had to move all of the boys inside. There was a lot of weather app watching on the phone today.

Journal 6/29/2015 Reds Camp!
Today was the beginning of Reds camp. This is a baseball camp for youth through age 14 put on by the Cincinnati Reds. Unfortunately the day started with some major storms preventing the camp from beginning outside as planned. During this camp, the boys used the baseball field, softball field, football turf and multipurpose turf. There are more than 180 boys that are signed up for the camp, so being able to utilize all the space is important. Due to the rain, the day had to begin in the arena, wrestling room and gym at the middle school. I worked as the liaison between the camp and the athletic department. I was there to walk around and ensure that everything was going well and to answer questions. After lunch, the boys were able to move out to the turf fields. The lacrosse goals were on the field from the morning, so I worked to move those off the field. We also had an issue with plumbing in the building. There was a leak in a pipe and the water was shut off to work on it. When the water was turned back on there was an issue with a urinal throwing water all over the floor and it flooded into the hallway. We alerted the custodial staff to ensure it would get fixed and cleaned for the boys at the camp. Other than that, the day went well! |

Today was another labor day. We worked in the storage area above the arena today. This is an area where some old uniforms, trophies and old spirit wear items are kept. We started by getting out the car flags, seat cushions and water bottles that had been in there for the past 14 years. These were items that could not be used again because they were dated 2001 and 2002. We then worked on getting out old uniforms that had also not be used in 14 years. This was a large portion of the clutter in the storage area. We then worked on pulling out old trophies that were broken and falling apart. These were things that had been in storage since the 70's and 80's. After completing the cleaning, there was not storage space that can be used for needed items in the future. |

Today started with a visit to the softball stadium to begin to get things ready for the Red's baseball camp that will take place there next week. The athletic director talked to me about being a liaison between the Red's camp and the athletic department. He talked to me about how the camp flows and which facilities they would be using.
After returning to the athletic department, the athletic director talked to me about the hall of fame event that was taking place in September. They have a dinner in which they talk about each of the inductees. Each of the inductees sends in information about their sports career at Mason in addition to any other information from college or beyond. This information is compiled with the data the school already has. I worked on beginning to compile the data the school has. It's a beginning that they can add in the biography information from each of the inductees. I found this to be a little bit of a challenge because we do not have all the information for the biographies yet. I tried to keep the documents as open ended as I could, but also keep each one a little different so they did not all sound the same. I then worked on updating the Hall of Fame database. This is a database they use to invite former inductees to the dinner. I added individuals that were not on the list in order for us to obtain addresses for the database as well as delete return to sender addresses from the previous year.

Tuesday was somewhat of a manual labor day. Each year the athletic department staff goes through the storage at the football stadium and cleans things up. This gives them an opportunity to check on some equipment and check on the storage units to make sure they are not leaking water. We went through each of the storage facilities and got rid of equipment that was no longer usable such as lacrosse goals, broken pole vault bars and other materials left over from the previous season. We also pulled down some advertisements around the stadium that would need replacing before football season.
I went to the arena with the administrative assistant to look at the records and awards signs. We went through his list and looked at the various signed to ensure the proper work order would be put in for the new years and information. There are new signs that needed to be made for state championships, qualifiers and placers.
Finally I went with the athletic director to the baseball stadium. They plan to start some construction on the backstop and walking paths as well as drainage at the baseball stadium. This was a meeting administration and the builders hired to complete the work. They went over the plans for the area as well as the builders plans to complete the work. They talked about where trucks would be placed and concrete would be moved in because of the proximity to a main road.

My day started with working on MyOSHAA. I was working on cross checking schedules in order to accept the contracts that have been sent. Once I complete that, I got to have a little more creative writing freedom. The Athletic Director was looking to create some new survey's for student-athletes, parents and coaches to fill out at the end of the season. I was able to come up with my own categories and questions. I created three different survey's using surveymonkey.com. This would allow for easier completion and return of the surveys. There were three different survey's I created. One was specific to student-athletes about coaches, one was specific for parents about coaches and the final one was specific for coaches about the athletic department. I finished my day up by scanning in emergency and crisis evacuation plans. |

I started with making some changes to the Award of Excellence template to add a table of contents and break the portions out into different pages. The induction of athletes into the Hall of Fame is another thing we went over. There were several athletes I knew well on the list. I assisted on helping find an alumni that they have been unable to locate. We then went around to the different facilities. We started at the storage under the stadium to check for water leaks that need to be addressed. We also took notes on the storage areas that need organized and cleaned. We then went to the baseball facility and the arena and look at the cleaning needs for those areas. I sat in on a coaching evaluation today. They talked about the different standards and how the coach worked through each of those standards. They talked about how the season went, coaching retention for next year of assistants and information on the facilities and equipment. Finally we wrapped the day up at the historical society. We were looking for statistical information that may be contained in a yearbook.

Today was a computer day. My day started with sorting envelopes by zip code so they could be sent out today. I then continued my work on the cautionary statements. I completed all cautionary statements for the winter and spring sports. I then worked on a template for the AD for an excellence award. I set it up in two different templates for him to determine which would best meet his needs.

My day started with a meeting. The Athletic Council is a group that meets each month. It is comprised of the high school athletic director, the middle school athletic director, assistant to the athletic director, administrative assistant, high school principal, superintendent and two coaching representatives. They talk about the financials, any issues and needs of the programs. After the meeting we went through the storage rooms for team uniforms to ensure they were organized. Finally, a good portion of my day was spent typing up and working on cautionary statements for the various sports. I was able to make it through all of the fall sports offered at Mason. These statements talk about things parents and athletes should be aware of when competing in the particular sport and precautions to take. |

Today was a less busy day. We spent the first part of the morning going around to the different facilities. We worked on moving district and regional trophies in the cases. Some of the girls basketball, volleyball, gymnastics and wrestling trophies were moved to a new location closer to the facilities the teams are using. We worked on moving the trophies around to make the case look nice. I then worked on labeling envelopes and stuffing them with advertisement information to send to local businesses. The advertisements would be in the fall, winter and spring directories with information about the various teams. We had an opportunity to move around to the different facilities. The Athletic Department is located within the high school. There is also a field house, gymnasium, wrestling room, natatorium and two lifting rooms. On the grounds of the middle school is the Arena, baseball and softball fields, football stadium, multipurpose field and tennis courts. It is a different setup because the middle school used to be the high school. The new high school was built next door to the middle school. Therefore the facilities are on both properties. |

Today was the first day of my internship. I started off by meeting with the athletic director again to go over a plan for completing my hours. The first task I worked on was entering data into My OSHAA. This is a database to enter all home games for the school. This becomes the contract between the schools for the game. The date, time, sport, gender, level and location are all entered. After the information is entered and saved, an email is sent to the other school. Once the other school has accepted the event, a contract that can be printed. After completing this, I went through the schedule in Schedule Star. I verified each game in the system to ensure the correct date, level and time. I also added new information into Schedule Star for cross country meets. I then went to the file room and worked on pulling out and recycling old information. We organized participation files and medical files by year and when they can be shredded. My last task of the day was to do some research. I looked up information on cautionary statements. I pulled up examples of cautionary statements for each of the sports offered at Mason. This is a project they plan on finalizing by the spring to submit. The Athletic Department is somewhat small. There is the athletic director, assistant to the athletic director and the administrative assistant working out of the Athletic Department. There is also a middle school athletic director that is at another building and a director of communications. The three in the Athletic Department seem to split up the work. Each person has their tasks they typically take care of in order for everything to get completed. |
